Responsibilities

Who are you?

 

The Leaves Specialist will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. This role reports directly to the VP of Total Rewards.

 

In this role you will wear many hats, but your knowledge will be essential in the following:  

  • Develop relationships and collaborate with internal peers, finance, and payroll to ensure high-quality, compelling service.
  • Works closely with the company’s third-party vendor to ensure appropriateness of the FMLA leave administration process from the employees' initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Communicate with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Manage all life events and ADP system changes and collaborate with the Total Rewards team on any inquiries and/or enhancements of the system to improve processes.
  • Responsible for all state and federal regulatory compliance leave programs and adherence to applicable laws.
  • Collect, analyze, and summarize employee data to inform management. Offer recommendations to improve the leave program, including policy or process changes.
  • Collaborates with payroll to ensure employees’ pay and deductions while on leave are reconciled and accurate.
  • Perform regular financial reviews of invoicing and billing to ensure accuracy as compared to changes, vendor systems, inputs, and payroll.
  • Manage vendor relationships and support internal and external audits.
  • Maintains standard operating procedures, process documentation, and service level agreements.
  • Partner with the Total Rewards team on projects, assignments, and all other duties as assigned.

Qualifications

What you bring to the Personify Health team:

  • Minimum of 5 years of leaves administration experience.
  • Experience partnering with payroll, finance and knowledge of HR systems.
  • Bachelor's degree in HR or other related field preferred.

  • Excellent written and verbal communication skills.

In compliance with all states and cities that require transparency of pay, the base compensation for this position ranges from $70,000 to $80,000 annually. Note that compensation may vary based on location, skills, and experience. This position is eligible for 5% target bonus/variable compensation as well as health, dental, vision, mental health and other benefits.
